Microsoft 365, QuickBooks and CRM integrations

Enter it once. It shows up everywhere it’s needed.

Your CRM, accounting, scheduling and Microsoft 365 or Google Workspace, talking to each other instead of through someone’s copy and paste. Integrations and workflow automation built and supported by JFI for businesses across BC.

The hidden job

Somebody in your office is the integration.

A new client is typed into the CRM, then into QuickBooks, then into a folder in SharePoint, then into the job calendar. Every copy is a chance for a typo, and every week it eats hours nobody budgeted for.

Integrations take that person out of the middle. Information is entered once, in the system where it belongs, and the rest happens on its own, with a log of what moved and when.

Common connections

Integrations we’re asked for most.

Most business software has a way to connect to it. Where there’s no clean connection, we find the most reliable workaround and tell you its limits up front.

  • 01

    CRM to accounting

A won deal in HubSpot or another CRM creates the customer and the invoice in QuickBooks Online or Xero, with the amounts and terms already filled in.

  • 02

    Forms to everywhere

Website, intake and Microsoft Forms submissions filed into the CRM, a SharePoint list or a spreadsheet, with the right person notified.

  • 03

    Microsoft 365 workflows

Approvals in Teams, files sorted into the right SharePoint folder, Outlook attachments saved and renamed automatically, all with Power Automate.

  • 04

    Scheduling and dispatch

Bookings from your scheduling tool on the job calendar, with reminders sent and completed jobs flowing back to invoicing.

  • 05

    Accounting exports

Timesheets, expenses and job costs pushed into accounting in the format your bookkeeper actually wants.

  • 06

    Data migrations

Moving years of records from an old system to a new one, cleaned up and checked, so the switch doesn’t start with a mess.

The right tool for the job

Off-the-shelf automation, or a custom integration.

We use whichever is simplest to run and cheapest to keep running. Often it’s a mix.

Automation platforms

Power Automate, Zapier & Make

Quick to build and easy to change. The right choice for most everyday workflows between popular apps.

  • Included with many Microsoft 365 plans (Power Automate)
  • Live in days, not weeks
  • Easy to adjust as the process changes
  • Monthly platform fees for heavier use (Zapier, Make)
Custom integrations

APIs, webhooks & scheduled jobs

Built when volumes are high, the logic is complex, or there’s no ready-made connector.

  • Handles large volumes reliably
  • Custom rules, checks and error handling
  • Runs on hosting you own
  • Documented and handed over with the code

Built to keep running

Integrations fail quietly. Ours don’t.

The risk with automation is the day it stops and nobody notices for a month. Every integration we build logs what it moved, and failures send an alert rather than disappearing. You get a plain description of what connects to what, so it’s never a mystery.

Because JFI can also look after your Microsoft 365 and the rest of your IT, the accounts, permissions and licences the integration depends on are managed in the same place.

How a project runs

Small, fixed-price and quick to go live.

A single automation or integration is often live in one to three weeks. It starts with discovery: we map how the information moves today, who touches it and where it goes wrong. Sometimes the fix is a setting in software you already pay for, and we’ll say so.

Then you get a fixed price for the first version, agreed in writing, which doesn’t move unless the scope does. We build and test it on real records before switching it on, and hand over the documentation at launch. You own the code and the accounts it runs on. See how pricing works.

After launch, JFI can watch it, update it when one of the connected products changes, and add the next workflow. That’s optional. An integration pairs naturally with a dashboard once the data is finally in one place.

After launch

You deal with JFI directly, before and after launch.

The company that scopes and builds your software is the one you call when it needs a change or something stops working. No sales handoff, no account manager in the middle, no support desk that has never seen the code.

  • 01

One point of contact, start to finish

The conversation that starts in discovery carries on through the build and after launch. You don’t re-explain your business to a project manager, then a developer, then a support desk.

  • 02

Support from the company that wrote the code

When something needs fixing or changing, it comes back to JFI, which built it and wrote the documentation, not to a third party learning your system on your time.

  • 03

    Changes as the business changes

New fields, a new report, another integration. Small changes and bigger next stages are scoped and agreed with you before work starts.

  • 04

Next to the rest of your IT

If JFI also looks after your IT, your software sits inside the same support: the same number to call and a first response the same business day.

Not locked in, either: you own the code, the data and the documentation. How JFI builds and supports custom software.

Common questions

Integrations, the short answers.

01Can you connect QuickBooks Online to our CRM?
Usually, yes. QuickBooks Online, Xero and most CRMs, including HubSpot, have APIs or ready-made connectors. Discovery confirms exactly what can sync and in which direction before you commit.
02What if our software has no integration?
We look for the most reliable workaround, such as scheduled exports, email parsing or a small custom connector, and tell you its limits up front. If there’s no dependable way, we’ll say so rather than build something fragile.
03Do we need Power Automate, Zapier or something custom?
It depends on volume, complexity and what you already pay for. Power Automate is included with many Microsoft 365 plans. Zapier and Make are quick for popular apps. Custom integrations make sense for high volumes or complex rules.
04What happens when an integration breaks?
Every integration we build logs what it moves and sends an alert when something fails, so problems are caught the same day rather than discovered at month end.
05How long does an integration take?
A single automation or integration is often live in one to three weeks. Larger data migrations or multi-system projects are scheduled in the proposal.
06Who owns it?
You do. The code, the configuration and the accounts it runs on are yours, with documentation handed over at launch.
